Payment Terms
A 50% deposit is required before any work begins. The remaining 50% is due before delivery of the final product or design, or before a website goes live. Invoices are payable within 7 days of the date of issue. Overdue invoices may be charged interest at 2% per month on the outstanding amount, and work may be paused until payment is received. Please send proof of payment to sayhello@lightwavestudio.co.za.
Prices, VAT & Quotes
All prices are in South African rand (ZAR). Lightwave Studio is not registered for VAT, so no VAT is added to invoices. If that changes, VAT will be added from the date of registration. Prices shown as “from”, as a range or with “+” depend on the intensity of the design and are confirmed in a written quote. Quotes are valid for 14 days from the date of issue.
Scope of Work
All quotes are based on the scope agreed at the time of approval. Any additional requests, changes or work outside that scope will be quoted or billed separately.
Revisions
Unless otherwise stated, design projects include 3 revision rounds, logo design includes 2 revision rounds on the chosen concept, and website projects include 2 revision rounds during the design phase. Additional revisions or changes outside the approved scope are billed at R 500 per hour.
After-Hours & Rush Work
Work requested outside standard working hours is billed at the after-hours rates in the pricelist: R 625 per hour on weeknights, R 750 per hour on weekends and public holidays, and R 1,000 per hour for emergency work. Projects needed on an urgent or expedited timeline may carry a rush fee, depending on availability. The fee is agreed with you before the work starts.
Client Responsibilities
The client supplies all required content (text, images, logos and so on) in good time, reviews all proofs and designs carefully before approval, and makes sure the information provided is accurate and final. Lightwave Studio is not responsible for delays caused by late or incomplete client submissions.
Client-Supplied Material & Specifications
All photos, text, logos and other material, together with the information and specifications needed for the job, must be supplied by the client before work starts. Images and photos: high resolution, at least 300 dpi at the final printed size for print work, and at least 1080 px on the long side for social media and web. Please send the original files, not screenshots or images saved from WhatsApp, social media or a website. Logos: in vector format (AI, EPS, SVG) or a high-resolution PDF. A logo supplied as a small JPG or PNG cannot be enlarged without losing quality. Text: final, proofread and in editable form (Word, Google Docs or plain text). Brand details: brand colours, fonts and brand guidelines, if you have them. Size and use: the final size of the design (for example A4, A5, 1080 × 1080 px or banner dimensions), the orientation, the quantity, and where it will be used. For print work, tell us the printer’s requirements for bleed, colour mode (CMYK or RGB) and file format. A change in size or format after approval counts as extra work and is quoted separately. If supplied material is too low in quality to give a good result, we will tell you and ask for better files. Lightwave Studio is not responsible for the quality of a final result that was made from low-quality files the client chose to use. The client confirms that they own, or are licensed to use, everything they supply, and that it does not infringe anyone else’s rights.
Proofing & Approval
All artwork and designs are sent for approval before finalisation. Lightwave Studio is not liable for errors that were approved by the client in the proof, that result from reused proofs (printed or digital), or where the client chooses to proceed without proofing. Once approved, the design is final.
Website-Specific Terms
By accepting a website quote, the client agrees that a 50% deposit is required before work begins and the remaining balance is due before the website goes live. Delays in content delivery may affect timelines. Domain registration and hosting are the client’s responsibility. Post-launch support and maintenance are billed separately. Lightwave Studio is not responsible for third-party modifications made after launch.
Custom Orders & Production
For custom products and branded items, final approval of artwork and design rests with the client. Lightwave Studio is not responsible for errors after approval, unless caused directly by Lightwave Studio, and accepts no responsibility for production errors once designs are signed off.
Third-Party Services & Costs
Third-party costs, including printing, suppliers, stock images, fonts, plugins and media spend, are billed separately unless stated otherwise. Lightwave Studio is not responsible for third-party pricing changes, delays or errors.
Colour & Production Variations
Colours may vary between screens and final printed products. Slight variations in colour, size, material or placement may occur during production. Lightwave Studio is not liable for these standard industry variations.
File Handover
Final deliverables are supplied in the agreed formats. Editable or source files (for example AI, PSD and working files) are not included unless specifically agreed, and may carry an additional fee.
Cancellations
If a project is cancelled after work has started, the deposit is non-refundable and work completed up to the cancellation point may be billed. Retainers follow clause 15.
Retainers & Packages
Packages are billed monthly in advance. Package hours reset each month and unused hours do not roll over. Work beyond the package hours is billed at R 500 per hour and agreed with you first. Start-up packages run for 3 months. After that, either party may end a retainer with 30 days’ written notice.
Liability
Lightwave Studio is not liable for delays caused by the client or third parties, for third-party amendments or interventions, or for indirect or consequential damages arising from the use of our work.
Intellectual Property & Ownership
All work remains the property of Lightwave Studio until full payment has been received. After full and final payment, the rights to the final approved materials transfer to the client. Lightwave Studio may show completed work in its portfolio, marketing and social media.
Marketing & Performance Disclaimer
Best practices and proven strategies are applied, but Lightwave Studio does not guarantee specific results from marketing or advertising efforts, including sales, engagement or return on investment.
File Storage
Lightwave Studio keeps project files for a limited period. Long-term storage is not guaranteed, and clients are responsible for backing up all final files provided.
